Attendance software promotes student organizations, helps with data collection, finances | New


After a two-year search and selection process, a committee of students and staff selected Presence as the software to support the new all-inclusive dashboard for organizations on the University of Valparaiso campus.

“In fact, we went through a window of about two years in which we researched different software systems and made demo calls with the first three that we identified,” said Ryan Bye, director of the student participation and programs for new students. “Presence best fits our campus and our user interface. “

Presence has been renamed MyValpo to remain a more recognizable VU program. In MyValpo, upcoming events can be located, as well as student organizations and departments on campus.

The software, being a public site, allows prospective and current students to view a list of campus organizations. More filters can be applied from there, categorizing organizations to better meet the interests of the viewer. Public members can only see the site, while VU students have their own accounts. In addition to student organizations, MyValpo contains campus-wide forms that range from open organizational positions to registration forms.

“MyValpo is designed to be the hub for all student organizations and extracurricular opportunities. So really how this will help current students is that it provides them with a central hub to track all of their involvement, as well as what’s happening on campus like events, extracurricular opportunities going on, and opportunities that are happening. Valpo has to offer outside of their classroom experience, ”said Bye.

Campus organizations are able to provide a brief description of their group, times and locations of general meetings and include tags. Tags link each club to various characteristics that help users understand the components of each organization. Community service, recreational and spiritual / religious sports are just a few of the options.

Likewise, different departments of the university can be added to the software. Departments are also able to promote upcoming social events, shows, and meetings. Any organization or entity that has gone through the appropriate recognition process through the Student Senate can be presented.

“Globally, [MyValpo] helps us understand what the student body needs and expects from us, ”said Molly Rabe, Associate Director of Student Activities. “The more we get to know the software, the more we get to know it, we can really improve the student experience.”

From a data perspective, the platform allows student organizations to access statistics that were not previously available. These include attendance at general meetings and events, as well as student demographic information, all accessible through the MyValpo website.

“You also have the backend where you can check in people [at events] So you can see what kind of students you get and who’s interested and do some kind of strategic thinking about it, ”Rabe said. “You can see a breakdown of how many people have come to your event, basic demographics such as age, gender, ethnicity and also the school they are from. “

Among student organizations and departments, Residential Life (ResLife) and Fraternity and Sorority Life (FSL) have benefited from the functionality of the software. ResLife residential assistants can post information about their upcoming community events and provide descriptions. The presence function is used by FSL to track the participation of sections on campus.

While attendance and event advertising are the main features offered by the platform, the financial component is another aid to the success of student organizations.

“Présence also has a finance module. So, as organizations integrate MyValpo, they will have the ability to track their budgets and expenses, ensuring they are reimbursed or spend their money properly, ”said Bye.

MyValpo is a tool that shows not only what students get involved in, but also how they get involved in the campus community as a whole. Residential and commuter students will be able to create their profile and personalize their VU engagement.
